SAP to ERPNext

This Move Is Not Right for Everyone

Leaving SAP for ERPNext works well for mid-sized businesses running a fraction of what they licensed. It works badly where deep industry modules are doing real work. We assess that module by module and give you the answer before you commit to anything.

Why It Matters

The assessment is worth more than the migration

Finding out in month seven that a module has no equivalent is the expensive way to learn it.

Assessment First

We sell the assessment, not the outcome

The first stage is a module-by-module review marking each area as a direct fit, a partial fit that needs development, or a genuine gap with no equivalent. It is a standalone piece of work with its own deliverable, and it is designed so that a recommendation not to migrate is a perfectly acceptable result.

  • Every SAP module in use assessed and rated.
  • Gaps costed as development, not waved through.
  • A recommendation to stay is a valid outcome.

Honest Cost Comparison

Removing licence fees is not the whole picture

ERPNext has no per-user licensing, which is genuinely significant at scale. You still carry hosting, support, and development for anything that was standard in SAP and is not here. We model three years of total cost across both options, because a comparison that only counts the licence line is not a comparison.

  • Three-year total cost, not a licence saving.
  • Gap development included in the model.
  • Hosting and support costed realistically.

What to Weigh

The things that decide whether this works

These come up on every SAP assessment, and they are usually what determines the answer.

🏢
Entity structure
Company codes, controlling areas and plants do not map one to one. Multi-entity groups need careful design.
⚙
Custom ABAP
Custom developments have to be assessed individually. Some are still needed, many turn out to be obsolete.
🔗
Surrounding integrations
Everything connected to SAP has to be re-pointed, and that inventory is usually longer than expected.
⚖
Compliance and audit
Statutory reporting, audit trails and retention duties have to be satisfied in the new system before cutover.
👥
Internal skills
Your SAP knowledge does not transfer directly. Training and hiring need planning as part of the move.
📊
Reporting expectations
Reports people rely on have to be rebuilt, and that list is always longer than the one first provided.
How It Works

Assessment first, then a phased migration

1
Assess
Module-by-module fit, gap costing and a three-year total cost model.
2
Decide
You decide with real numbers, including the option of staying on SAP.
3
Design
Entity structure, chart of accounts and gap development scoped and built.
4
Migrate and test
Data extracted, transformed, loaded and reconciled, then run in parallel.
5
Cut over
By entity or plant where possible, with SAP read-only afterwards.

Why Us

Why teams choose TCB Infotech for this assessment

1
We will tell you not to move
If the gaps are load bearing, that is the recommendation, and the assessment still stands alone.
2
Gaps are costed, not glossed
Anything marked partial carries a development estimate, so the comparison is fair.
3
Three-year cost modelling
Licence savings alone are a misleading way to make a decision this size.
4
We inventory the integrations
What is connected to SAP is always longer than the list you start with.
5
Phased where possible
Moving one entity or plant first removes most of the risk when the structure allows it.
6
Proven delivery
50+ ERP and software projects across industries, with zero failed projects since 2021.
FAQ

SAP to ERPNext questions

Is moving from SAP to ERPNext actually realistic?
For many mid-sized businesses, yes, particularly where SAP was sized for a larger operation or inherited from a parent company. It is less realistic where you depend on deep industry-specific modules, very complex multi-entity consolidation, or regulatory functionality that has no equivalent. We assess that first and tell you if the answer is no.
What genuinely does not carry across?
Deep industry solutions, advanced planning and optimisation, and some highly specialised financial consolidation are the usual gaps. Standard finance, purchasing, sales, inventory and manufacturing map reasonably well. We produce a module-by-module assessment marking each area as a direct fit, a partial fit needing development, or a genuine gap.
How do you get data out of SAP?
Through standard extraction tools and reports, working with whoever holds your SAP access. Getting data out is normally straightforward. Transforming it is the work, because SAP structures such as company codes, controlling areas and plants do not map one to one onto ERPNext and those decisions need your finance team.
What about the licence and support savings?
They are usually the reason people start the conversation and they are real, but the comparison has to be honest. ERPNext removes per-user licensing, and you then carry hosting, support and any custom development. We model total cost over three years rather than comparing a licence line to zero.
Can we migrate one area at a time?
Sometimes, and it lowers risk considerably when it is possible. A distinct plant or subsidiary can move first while the rest stays on SAP, with an interface between them during the overlap. Where finance is tightly integrated across the group, a phased move is harder and we will say so.
How long does an SAP migration take?
Typically 6 to 12 months for a single entity, longer for multi-entity groups. The fit assessment and gap development drive the timeline far more than the data movement does, which is why we do the assessment as a separate first stage.

SAP Migration Features

What Is Inside the Assessment and the Migration

The assessment is a standalone piece of work with its own deliverables, designed so you can decide properly. Here is what it produces, and what the migration covers if you go ahead.

Core Features

From a rated fit assessment to a phased cutover

Fit Assessment

Each module rated, with the evidence attached

We work through the SAP modules you actually use, not the ones you are licensed for, which is often a much shorter list. Each is rated a direct fit, a partial fit requiring development, or a genuine gap. Anything partial or gapped carries an estimate, because a rating without a cost is not decision-grade information.

  • Modules in real use identified first, by transaction volume.
  • Each area rated with supporting evidence.
  • Development estimated for every partial and gap.

Inventory and Cost Model

Everything attached to SAP, and what three years really costs

We inventory every integration, interface and report that touches SAP, because each one has to be re-pointed or rebuilt and that list is always longer than expected. Alongside it comes a three-year cost model covering both options, including hosting, support and gap development rather than just a licence comparison.

  • Integration and report inventory with re-point effort.
  • Custom developments rated as needed, replaceable or obsolete.
  • Three-year total cost for staying and for moving.
Modelling total cost of ownership across ERP options
Migration and Cutover

By entity where the structure allows it

Data is extracted through standard SAP tools, then transformed, because company codes, controlling areas and plants do not map directly onto ERPNext structures. Where a plant or subsidiary can move independently we phase it, with an interface covering the overlap, which removes most of the risk from a single large cutover.

  • Extraction through supported SAP routes.
  • Structure transformation agreed with your finance team.
  • Phased cutover with interim interfaces where possible.
