API Case Study

Store and ERP, Connected So Nothing Is Typed Twice

An online retailer copied orders from its store into its ERP by hand, and stock was never quite right. Custom APIs now keep orders, stock and prices in sync between the two.

The Challenge

Orders copied by hand, stock always a little wrong

The store and the ERP did not talk. Each day, someone exported orders from the store and keyed them into the ERP, then updated stock levels back in the store by hand. The two were always slightly out of step, so items showed as available when they were not, and prices did not always match.

  • Orders were exported and re-keyed into the ERP.
  • Stock was updated in the store by hand, late.
  • Prices in the store and ERP could drift apart.
  • Oversells and corrections cost the team time.
The Solution

Custom APIs that keep both systems in sync

We built APIs between the store and the ERP. New orders are pushed to the ERP as they happen, stock changes flow back to the store, and price updates go out to both. Webhooks trigger each sync the moment something changes, so the systems stay matched without anyone touching them.

  • Orders pushed to the ERP as they are placed.
  • Stock levels synced back to the store.
  • Price changes pushed to both systems.
  • Webhooks trigger each sync in real time.
How We Delivered

Mapped the data, then connected it safely

We mapped how products, orders and stock are represented in each system, agreed how they map to each other, and built the APIs with authentication and validation. We ran the sync alongside the manual process first to check the figures, then switched it on fully.

The integration went live in four weeks.

The Outcome

Orders flow straight through, stock stays accurate

Manual re-keying stopped. Orders flow from the store into the ERP on their own, stock is accurate across every channel, and prices match in both places. The team no longer fixes oversells or chases mismatches, and the store and ERP agree.

Orders used to be copied from the store into the ERP by hand, and stock was always a little wrong. Now orders flow straight through and stock matches across every channel. We stopped firefighting oversells.
